Side by side

Different rollouts, one pattern.

Safe access for everyone first. Then training. Then the work each department already does.

Where they started

The goal was everyday usefulness that fit government: predictable costs, a simple rollout, and strong safeguards.

As a public agency, Sequim could not let sensitive information reach the public domain. The city led a national task force evaluating early AI vendors.

Staff were reaching for public AI tools to summarize reports and draft communications, with no approved option and no view of what went in.

Why they trusted GovAI

Nothing to install. Anyone with a city email could sign in. Staff knew GovAI would tell them if they veered into risky territory, and IT could search and sort usage in the dashboard.

Safety parameters and Data Shield, a focus on government clients and residents’ information, and a real trainer who answered staff questions quickly.

A platform built for government that shows IT where sensitive information turns up, and keeps government data out of model training.

How they rolled it out

IT focused on awareness: what GovAI can do and how its safeguards protect city staff. Use cases surfaced across departments as people tried it on real work.

Mandatory training for every employee, recorded for replay, then department sessions with job-specific examples. Internal champions built Folios and assistants, and IT publishes monthly usage reports by department.

Everyday internal work first, before anything citizen-facing. Then basic AI skills across departments, including how to prompt.

What changed

Citywide access without tracking seats. During budget season, staff turned technical proposals into clear language for finance and management. IT deployed with confidence.

Adoption in HR, Parks, Legal, IT, Public Safety and Finance. Staff turn previous work into new drafts, check math, and rewrite legal language in plain terms.

Staff in communications, finance and public safety now have safe, approved access to AI for the work they already do.

What staff say after training

From “another system to learn” to a list of what’s next.

“I came in thinking this was another system to learn. I left with three things off my desk and a list of six more I want to try.”
Administrative staff · post-session survey
“The department session is what moved us. Once people saw their own work orders in the examples, the questions changed from whether to how.”
Department director · second-month check-in
“Our directors stopped asking whether we should be using AI and started bringing us the tasks they wanted covered.”
Project lead · end of phase two
